This explains what VCEForge collects, why, and who it's shared with. It's written in plain language so any student can read it.
SACs, exams, SATs, and other dates you add are private to your account. We store the title, date, type, optional subject, time, and notes so the Dashboard can show your calendar and upcoming dates. Other students cannot see these entries. You can remove a date from the calendar or request deletion of your account and associated data.
Posts are stored for moderation and stay hidden from other students until approved. Approved posts and their category are visible to signed-in VCEForge students. Your community display name is hidden by default; you can opt in to show it on an approved post. Support votes are counted on the post, but voter identities are not shown. You can withdraw a pending post or remove your own approved post in the app.
Essay sharing is optional and available for completed high-mark results. A share request stays private until reviewed by an administrator. If approved, the subject and practice mark are shown to signed-in students. Including the essay text is a separate opt-in; it stays hidden unless a moderator approves it too. Your account name, prompt, and context are not included. You can withdraw or remove a shared sample from your essay history. Moderators may see the requested essay text to review it for identifying details.
Oral Coach does not upload or save your camera video, microphone audio, transcript, camera frames, local measurements, or Oral Coach feedback. They are used in the browser while a practice take is running and are discarded when you finish the take, leave the view, or close the tab. VCEForge stores only the daily allowance counter described above. Camera and microphone access ends when the take ends.
The coach can make a coarse, local estimate of face framing, eye direction, visible movement and delivery variation when your browser supports the required camera features. The movement signal compares small live frame changes; it is not a body-pose or identity model. It does not identify you, create a face profile, or infer your emotion or confidence. The result also lets you record how the take felt, but that self-check is not saved.
If you enable live transcription, your browser's speech-recognition feature may send or process speech through the browser provider's service to return words. VCEForge does not receive or store that transcript. Check your browser provider's privacy settings if you require speech processing to remain entirely on-device. You can turn the microphone off and use the camera-only checks instead.
Voice Study uses your browser's speech-recognition feature to turn your spoken question into editable text. Speech may be processed by your browser provider; VCEForge receives the recognized text, not microphone audio. When you choose to ask the tutor, your question, conversation context, and relevant excerpts from the subject materials you select are sent to a third-party AI provider to generate an answer. We do not send your full source document for each question. The question and tutor response are saved in your private tutor history. Answers are shown as text and can be read aloud by your browser's speech feature. You can type instead of using the microphone, and you can choose whether to play the answer aloud.
When you submit a written answer or a photo for AI marking, the answer text and any uploaded images are sent to OpenRouter, which routes them to a third-party large language model provider to generate the mark and feedback. This is core to how the marking feature works. Your name and email are not sent with them. MCQ and short-answer auto-marking, and Paper Mode self-marking, are done on our own server and don't involve any third-party AI.
We only send answers for marking when you ask for it by submitting them. If you don't want your answers sent to a third-party AI, use the auto-marked question types and Paper Mode, or don't submit answers for AI marking.
Plus subscriptions are processed by Stripe. Card details go straight to Stripe and never reach our servers. We store a Stripe customer/subscription reference and your plan status. Optional Fuel the Forge contributions are also processed by Stripe; we store the checkout/payment reference, amount, and Study Sparks credited to your account so we can prevent duplicate credits and resolve payment questions.
We don't sell your data, we don't run third-party advertising, and we don't use your answers to train our own models.
We keep your data while your account is active. You can ask us to delete your account and associated data at any time by emailing the address below — we'll action it within a reasonable time. Some minimal records may be kept where required (e.g. payment records).
You can view and change your subjects and profile in the app, and request a copy or deletion of your data by email.
